CadVu is a brand (assumed name) operated by Sand Animus Properties LLC, a Texas limited liability company. This policy explains how Sand Animus Properties LLC (“CadVu”, “we”) handles information in CadVu: the software surveying firms use to run their work, the portal title companies use to order surveys, and the firm websites CadVu hosts. A surveying firm that uses CadVu decides what it does with its clients’ information; for those clients, we act on the firm’s behalf, and the firm’s own website explains its terms.

What we collect

  • Account information: names, work email addresses, phone numbers, job titles, company details (for a surveying firm also its legal name and tax ID), and the password or Google sign-in you use. Passwords are stored only as a secure hash by our sign-in service.
  • Order information: property addresses, the public county record of the property, the survey requested, dates, GF numbers, the names, emails and phone numbers of buyers, sellers, lenders and other clients entered on an order, prices and invoices.
  • Payment records: amounts, dates, what was paid for, and the payment processor’s reference for each payment. For a firm’s card on file we keep only the card brand, last four digits and expiry date. Full card numbers are held by the payment processors (Stripe, PayPal); we never receive or store them.
  • Documents and messages: files uploaded to an order (title commitments, deeds, plats, sealed surveys), messages on an order, and what people write to the CadVu assistants and the chat on a firm’s website.
  • Technical and log data: the IP address and browser of sign-ins and requests, the pages and actions requested and when, kept in server logs and in the audit trail of changes, for security and to fix problems.

Why we use it

To deliver CadVu to the firms and title companies that use it: to price and carry out orders, process payments and bill firms for CadVu, deliver documents, send the emails and updates people expect (sign-in links, order updates, invoices), keep the service secure, back it up and fix problems.

We do not sell personal information. We do not share it for cross-context behavioral advertising or use it for targeted advertising, and we do not use it for profiling that has legal or similarly significant effects.

Who we share it with

  • The people of the company that owns the information, according to the permissions that company gives them.
  • On an order: the surveying firm, the title company that placed it and the client see what that order needs. One firm never sees another firm’s data.
  • Service providers that run parts of CadVu for us, only for that purpose:
    • Hosting: Contabo (our server, database and files, in the United States).
    • Backups: Cloudflare (offsite backups, encrypted before they leave our server).
    • Email: Resend (sending email).
    • Payments: PayPal and Stripe (payments; Stripe once card payments are switched on).
    • Text messages: Twilio, once text messages are switched on.
    • Google: Sign in with Google, Google Maps (address lookup of the address you type), and Google Calendar or Drive when a firm connects them.
    • AI: Anthropic, which runs the AI that reads uploaded documents (such as deeds and plats), answers in the CadVu assistants and the chat on firm websites, checks that a new firm is a surveying firm, and prepares price reviews. Anthropic processes this information for us under its commercial terms and does not use it to train its models.
    • Public record sources: appraisal districts, county clerk record sites, county map services and FEMA. We send them a property address, location or record number, not personal details.
  • Authorities, when the law requires it.

Analytics and cookies

CadVu uses no third-party analytics and no advertising or tracking cookies. A firm can let its CadVu website count page views; those counts stay in our own database and use no cookie. Our cookies are functional only: they keep you signed in and remember choices such as the firm a title company is working with. No cookie banner is needed for these. The cookie notice lists them.

How long we keep it

For as long as the account is open. When a firm closes its account it can export its data, and the data is deleted after the closing period (at least 30 days). Backups expire on their own schedule, at most 90 days later. Records the law requires us to keep (such as invoices) are kept as long as required.

Security

Each firm’s data is kept separate in the database and tested for it, connections are encrypted, backups are encrypted before they leave our server, and anyone can add two-factor sign-in to their account.

Your rights

  • If your information is in CadVu because a surveying firm or title company entered it, you can also ask that company; we help it answer.
  • We do not treat you differently for using these rights.

You also have the right to object to or restrict our use of your information, and to complain to your local data protection authority. CadVu is run from the United States, so information is processed there.
